The onboarding phase

The first time you message your bot you are in onboarding. Han AI walks through a structured profile capture — your business, your clients, your priorities, how you like to work. When it’s done, the system activates and you move into live mode.

What it asks

The conversation covers your business in sections. Han AI moves through them one at a time and confirms before moving on. The captured profile becomes the foundation every later turn builds from.

The flow is natural language. You answer in your own words. The AI COO restructures your answers into a clean profile in your Airtable base.

What gets written

When onboarding completes:

Onboarding and live mode share the same history file, so live mode has the full context of what was captured and how.

The completion signal

When the profile is locked in, Han AI sends:

All set — activating your system now.

From the next message on you are in live mode.

If Han AI needs to pause

Some answers need a moment to digest or verify. When that happens you’ll see:

Sorry, let me pause and double-check on that. I’ll be back to you shortly.

This is intentional — the AI COO would rather be slow and correct than fast and wrong.

How long it takes

About thirty minutes of active conversation, but you can split it across a day. The bot remembers where you left off.

Editing the profile later

Anything captured during onboarding can be updated in live mode. Tell the AI COO what changed and it will revise the profile and write the update to Airtable.
